The firm practices in numerous project types including workplace, commercial, retail, hospitality, residential, and product design. Our accounting department needs a reliable Accounting Associate to assist the Financial Controller in the daily, weekly and monthly processes required to provide timely and accurate financial reporting.
The ideal candidate will be capable of learning our system with minimal supervision. He or she should be extremely organized and have great time management skills. In addition to serving the accounting department, the applicant will also work closely with Project management and administrative staff members. The Accounting Associate will report to the Financial Controller and will work with the team to accomplish interdepartmental goals and quotas. Basic Function: Under the direction and supervision of the Financial Controller, the Accounting Associate processes daily/weekly/monthly transactions including but not limited to: Accounts payable, accounts receivable, payroll, project maintenance and set-up etc.
Monthly client invoicing, credit memo or WIP adjustments
Daily accounts payable/receivable entry to appropriate general ledger accounts
Weekly accounts payable check runs
Daily cash posting and bank deposits
Bi-weekly payroll entry and processing
Daily credit card receipt entry and monthly reconciliations
Project management and client follow up per email request i.e. invoicing, backup, budgets etc.
Review and maintenance of new project budget requests, add services, modifications against client contracts and scopes of work
New Vendor and Subcontractor set-ups
Request and process W-9 forms for new vendors
Scan, file and log accounting documents
Associates degree in accounting or equivalent experience
3+ years accounting/bookkeeping experience (heavy invoicing preferred)
Experience providing customer service to internal "customers" and external clients
Experience in a cross-functional environment, working with various departments
Experience with MS Excel, Word and Outlook
Effective communication, time management and organization skills
Prior Deltek Ajera experience
Prior experience working within the A&E or similar industry
General ledger accounting experience
Intermediate level Excel skills
Strong interpersonal and communication skills (both written and verbal)
Ability to work independently in a fast pace, dynamic environment
Maintain high ethical standards and a positive, professional demeanor
